How I Plan My Day With The Productivity Planner




hey everyone Stefan here from
projectlifemastery.com and in this video
I'm gonna show you guys how I plan my
day by using the productivity planner
now I've already done some great videos
that share how I plan my day on my
youtube channel I did a great one on how
I plan my day in Evernote which I still
use which is great especially for doing
rpms and certain things that I've
learned that again it goes into other
videos but another great tool and
resource that I use it's very fast and
very efficient it's called the
productivity planner and many people
have already seen me use this and share
it on my snapchat and Instagram story
despite the same company that does the 5
minute journal and I originally use the
5 minute journal first I've been using
it for like over a year and I love it
and so when they came out with the
productivity planner it's like a 20
dollar journal and it's been great I
love it so you can get it for 20 bucks
but you don't have to use it you can use
Evernote if you want you could use your
own journal if you want but I'm gonna
share with you guys how this works
because there are some really cool
principles in it now the first part of
the book basically explains how to use
it and how it works and shares some
productivity techniques and then the
rest of the book is basically the
journal not sure if you can see this or
not but and I'll have a link to this
below but it just basically goes into
how you plan out your day by using it so
the first thing at the top you put in
the date there's an inspiring quote for
each day as well so for example the
quote for today is you need to be doing
fewer things for effect instead of doing
more things with side-effects that's by
Gary Keller it's a great motivational
quote every day and then you put in what
is called the most important task of the
day most important tasks of the day and
this is kind of based on the philosophy
of the one thing I'm not sure if you
read the book called the one thing great
book you want to focus on the most
important thing every day your one thing
and it says underneath if this was the
only thing you did today you'd be
satisfied so that's the criteria for
that one thing the most important thing
so what you do is you're gonna write
that in okay so I'm gonna do it right
now so for me the most important thing
today I'm gonna put record video blogs
so for me I you know I think okay by
recording videos if that was the only
thing I did today
would I be satisfied right and if it's
not then I'd put in something else
that's always got to be the highest
leverage most important thing so focus
on the most important thing each day and
then after that it uses what is called
the palma de Pomodoro Technique and
basically you can learn more about it
but basically what you want to do is you
want to put in how many palm maderos is
gonna take you to finish the task a
Pomodoro basically is a 25-minute chunk
of time that you dedicate towards a task
and you can chunk it differently than
that but what they have found is that 25
minutes that time of focus focusing on a
task is optimal for your brain and then
every 25 minutes you take a quick break
whether that's a stretch to meditate to
get water to go to the bathroom whatever
it is but you basically break down a
task or your day into different chunks
of time so what has here is this task
what's the target of how many palm
maderos it's going to take for me to
complete this and so I'm going to set a
target of how many I think it's gonna
take I'm gonna say maybe four let's say
I want to record for two videos today
for each video I'll take a quick break
in between and then what you do is
throughout the day you're gonna put in
how many 25-minute bubbles
did you actually spend on that task and
then you put in the actual amount so for
example let's say the reality of it is
actually took five so I'm just gonna
kind of color this in here and the
actual was that it actually took me five
so it's really great to use this
technique you don't have to use it
that's part of this but I find it very
useful the chunk thing is down in that
way for optimal productivity and again
there's a lot of studies and research
that goes into the benefit of that now
the other thing is you put in your
secondary tasks of importance as well as
additional tasks so basically the
productivity planner helps you focus on
the top five things ideally the top one
and then the top three then the top five
so what are secondary tasks of
importance so this says underneath
completion of these tasks will make the
day even better okay so they're kind of
like an add-on the cherry on top for
the most important thing they're gonna
do that day so for me I'm gonna put I'm
gonna say you know call George you know
my call with George let's say and you
know I'm gonna say I don't know I'm
gonna review XYZ okay so whatever it is
and again you're gonna use the Pomodoro
if you want you put into how many
Pomodoro's it's gonna take you and you
put in the actual the target and
everything and then also additional
tasks
that's task number four number five and
it says do these only after you've
completed the tasks above and so
prioritization is one of the most
important to important productivity tips
that you can follow making sure that you
prioritize your time you're always going
to make sure that you focus on the
highest leverage most important things
every single day throughout the day
there's always so many things that you
can do check in your email on Facebook
and and doing this and that but the
reality is is that only a segment of
them are gonna be really the most
important things they're gonna be the
highest leverage for you and make the
biggest difference in your life and
that's known as the 80/20 principle the
80/20 principle states that 20 percent
of your actions are gonna produce 80
percent of the results so that's why you
focus on your most important thing and
your other top two you do those before
anything else before you check your
email before anything else you've got to
do those tasks and then after that if
you have more time then you can span
checking your email and all those sort
of things those things always get done
they don't require as much bringing
power as the most important things do so
Facebook email I always leave those for
later in the day now
this is a process that I go through as
part of my morning ritual okay I do my
ritual every morning I go through this
as well as a five minute journal I also
do my rpm you know and I like this
because I can travel with it easily as
well but there's also a space here for
additional notes so extra space for
ideas future tasks inspiration they do
have an app as well that's worth looking
at as well and then also your
productivity score so I like this at the
end of the day you put in on a scale
from 0 to 10 how product productive were
you so how productive were you today on
a scale from 1 to 10 what happened
so I like the journal a little bit and
write out you know some things that I
could have done better that day or what
I should have done instead and so given
myself feedback and reviewing it is also
very beneficial so that's it it's pretty
simple it's a very fast process which I
enjoy again if you want any more of you
in death planning it can be useful to
have Evernote or another journal for it
but I like the simplicity of this
because it really focuses me on the most
important things not getting too carried
away or too much and just really I like
to have the physical version here as
well even though I use Evernote a lot on
my computer and I can sync that I like
to have the physical one too and I like
to have it in front of me on my desk
every day so that I just remind myself
okay it's there it only takes me a few
minutes do it and I always feel great
whenever I do it as well helps me be
more focused so productivity planner
guys a great tool again you don't have
to buy it it's only 20 bucks so it is
worth it I i buy these sort of things
they're great great gifts so this as
well as a five minute journal I buy for
my family and friends and my team even
so they're great to give out to people
as well but you don't have to have it
you can just use a journal you can use
Evernote whatever your preference is but
focusing on the most important thing
highest leverage 80/20 principle
Pomodoro your productivity score these
are all different useful productivity
tips and you can apply from this book
that will help you develop it develop it
over a period of time so that's it for
